Who we are

Arbor Solutions provides flexible self-service check-in kiosks and software for hospitality businesses across Ireland. When this policy says “we”, “us”, or “Arbor”, we mean Arbor Solutions and anyone acting on our behalf.

We are the data controller for the personal data described here. If you use a kiosk installed at one of our customers’ properties, that property may also decide how your data is used — its own privacy notice will tell you more.

Data we collect

What we collect depends on how you interact with us:

• Enquiries. When you contact us — by email, phone, or through our website — we receive your name, business name, email address, phone number, and anything you choose to tell us.
• Demos and trials. If you book a demo or trial, we keep your contact details so we can arrange and follow up on it.
• Guest check-ins. Kiosks are operated on-site by our customers. Arbor processes only what is needed to make the check-in work, such as reservation details supplied by the property. We do not sell or profile guest data.
• Technical data. Like most websites, we may receive standard technical information such as your browser type and pages visited, used in aggregate to keep the site working well.

How we use your data

• To answer your enquiry and provide quotes, demos, and support.
• To deliver, maintain, and improve our kiosks, software, and integrations.
• To send you information you have asked for — and nothing you haven’t.
• To meet legal, accounting, and contractual obligations.

We do not use your personal data for automated decision-making or profiling.

Legal basis

We process personal data under one or more of the following legal bases under GDPR: your consent (for example, when you ask us to contact you), performance of a contract (when we provide services to your business), our legitimate interests in running and improving our business, and legal obligations.

Sharing your data

We share data only with service providers who help us operate — for example, hosting, email, and customer-relationship tools — each bound by contract to use it solely on our instructions. We never sell your data. We may disclose data where required by law, or as part of a business transfer, with the same protections continuing to apply.

Retention and security

We keep personal data only as long as we need it for the purposes described, or as required by law. Enquiry details are typically retained for up to 24 months after our last contact. We use appropriate technical and organisational measures — including encryption in transit and access limited to those who need it — to protect your data.

Your rights

Under GDPR you have the right to access your data, correct it, delete it, restrict or object to its processing, receive a portable copy of it, and withdraw consent at any time. To exercise any of these, email info@arborsolutions.ie — we will respond within 30 days.

If you are unhappy with how we handle your data, you can raise a complaint with the Data Protection Commission in Ireland at dataprotection.ie.
